1. Who we are
Safe Cinder, SafeCinder, safecinder.com and safecinder.co.uk are trading brands operated jointly by WORLDMN LTD (company number 04911616) and INEEK LTD (company number 04896806). Both companies are registered at 199 Uxbridge Road, West Ealing, London W13 9AA and act as joint data controllers for the SafeCinder service.
2. Information we collect
We may collect customer and contact details, site and premises information, bookings, job and inspection records, service records, certificates, quotations, invoices, payment status, account activity, communications, photographs and other information supplied in connection with our services.
3. How we use information
We use personal information to provide and administer fire-safety services; arrange visits; maintain service histories; prepare quotations, invoices, reports and certificates; operate the customer portal; communicate with customers; process and reconcile payments; meet legal, accounting and safety obligations; prevent misuse; and protect our systems and users.
4. Lawful bases
Depending on the circumstances, we process information because it is necessary to perform a contract or take requested pre-contract steps, comply with a legal obligation, or pursue legitimate interests such as administering services, maintaining accurate safety records, securing accounts and recovering payments. Where consent is the appropriate basis, it may be withdrawn at any time.
5. Customer portal
Portal access is provided to authorised users linked to a customer account. Users must keep their login details secure and tell us promptly if access should be removed or may have been compromised. Portal activity may be logged for security, support and audit purposes.
6. Sharing information
We share information only where reasonably necessary, including with authorised staff and contractors, IT and hosting providers, professional advisers, regulators and authorities, and payment providers. Payment services may involve Stripe, PayPal or HSBC, which process relevant information under their own privacy terms.
7. International transfers
Where a service provider processes information outside the United Kingdom, we use an appropriate legal transfer mechanism and proportionate safeguards where required.
8. Retention and security
We retain information only for as long as reasonably necessary for the purposes described above and for applicable legal, accounting, contractual and safety-record requirements. We use proportionate organisational and technical measures to protect it, although no online system can be guaranteed completely secure.
9. Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to certain processing, receive portable information and complain to the Information Commissioner's Office. Some rights are subject to legal exceptions.
